Booking Terms & Conditions
Before confirming your booking at Peaks and Pods please take time to read the information below. It includes important information regarding booking and cancellation policies, and what we expect when you’re here.
The guest booking the stay must be 18 years of age or over. There must be at least one adult aged 18 or over staying in each pod.
We do not permit any persons to sell, trade or transfer a booking, credit note or gift voucher. Contact us by email if you have any problems regarding your stay.
Our booking system allows up to two pods to be booked together. If you’d like to book three or five pods, please email hello@peaksandpods.co.uk with details. We don’t take bookings of four pods together.
Any group booking of three of more pods made without prior arrangement with Peaks and Pods will be cancelled. That is, if guests individually book three or more pods but intend to come as a group.
To secure your booking, a non-refundable deposit of 30% of the total cost of your stay is required. You may also choose to pay the full balance at the time of booking.
Full payment is required at the time of booking if your stay is less than 30 days away, or if you’re paying with a gift voucher.
The remaining balance must be paid in full at least 30 days before the start of your stay. You’ll receive an email with a payment link a few days before the balance is due.
If the balance is not paid by the due date, Peaks and Pods reserves the right to re-let the pod and retain the deposit. It is the responsibility of the guest to ensure that any remaining balance is paid by the due date.
Peaks and Pods gift vouchers are non-refundable, and we do not permit any persons to sell or trade our gift vouchers.
Prices are inclusive of VAT. We reserve the right to change our prices at any time.
No-shows
In the event of no-shows, we do not offer any (either full or partial) refund. We strongly recommend that you take out UK travel insurance when you make your booking.
Cancellation
Should you cancel your stay more than 30 days before the day of check in, we will retain the non-refundable booking deposit (or 30% of the total of your stay if you’ve already paid in full).
Should you cancel your stay within 30 days of the start date, the balance of your stay remains payable.
In the event of cancellation of your booking by Peaks and Pods – for any on-site health and safety or quality-related issue (such as disruption to water supply) – you are entitled to a full refund of the money you have paid. You may also opt to change your booking to another date, subject to availability. Any additional cost relating to a change of dates would be payable.
Any liability arising from the cancellation of your stay by Peaks and Pods, for whatever reason, is strictly limited to the total sum paid to us by you.
In the event that Peaks and Pods is forced to closed (eg due to a Coronavirus lockdown), you will be invited to choose new dates for your stay. Refunds will not be issued. (See Force Majure below.)
Peaks and Pods gift vouchers are non-refundable, and we do not permit any persons to sell or trade our gift vouchers. The dates of bookings paid for fully, or in part, with a Peaks and Pods gift voucher may be amended, provided the changes are made at least 30 days before the start of the stay. If the stay is cancelled less than 30 days before the holiday start date, no part of the booking will be refunded and the dates may not be moved.
Whole site bookings – See separate Ts and Cs below (30 days’ notice does not apply – it’s eight week’s notice for groups).
Booking date amendments
If the start of your stay is more than 30 days away, we will allow you to move your booking to an alternative date, subject to availability. Any additional cost relating to a change of dates would be payable. To request a date change, email hello@peaksandpods.co.uk.
We will not move booking dates within 30 days of the start of your stay.
Force Majeure
Typical ‘Force Majeure’ events include, but are not limited to, pandemic, terrorism, serious crime, natural disaster, ‘Act of God’, government or public authority action or intervention, law, and travel restrictions.
If we are unable to offer accommodation due to circumstances beyond our control, we are not liable for refunds or expenses incurred. We recommend that you have adequate UK holiday insurance in place to cover this.
This means if we are prevented, hindered, or delayed from performing our obligations due to an event outside our control, including any action or order from the government, we will be relieved of our obligations. In the event of this happening, we will offer guests the opportunity to change the dates of their stay. We will not offer refunds.
Bookings made under the ‘Coronavirus Booking Guarantee’
Bookings made between 28/12/2020 and 31/10/2021 were made under Bedful’s ‘Coronavirus Booking Guarantee’. This guarantee still applies to bookings made between those dates. The terms of the guarantee are:
- If government restrictions mean that your stay cannot go ahead for legal reasons, we will give guests the flexibility to move their dates.
- Due to the flexible rebooking policy, the low deposit and late balance payments, no refunds are available to the customer on any funds paid to the Peaks and Pods (either the deposit or the balance payment).
- If the customer fails to pay the balance by 30 days prior to the holiday start date, the deposit may be deemed to be forfeited by Peaks and Pods and the booking cancelled. In such an event, the flexible rebooking policy will no longer apply.
- The customer must notify Peaks and Pods by 12 noon of the day prior to the start date of the holiday (the ‘rebooking deadline’) if they wish to make use of the flexible rebooking policy.
- If the customer does not notify Peaks and Pods by the rebooking deadline, it will be assumed that the holiday will be going ahead and therefore the flexible rebooking policy will no longer apply. In that event, if the customer does not subsequently check in on the holiday start day, the full payment will be forfeited and no refunds will be made, in line with the clear and express terms of this Guarantee.
Any deviation from these clear and express terms are entirely at the discretion of Peaks and Pods, with the exception of subsequent local or national restrictions being imposed after the rebooking deadline, in which case the flexible rebooking policy would still be applied.
The flexible rebooking policy is only available for cancellations related to genuine Coronavirus restrictions and we may request evidence. Flexible rebooking is not available for cancellations related to weather or other reasons.
In the event that the customer uses the flexible rebooking policy and chooses a date where the same accommodation is only available at a higher price, the additional prevailing rate for the stay will be due.
If your stay is more than 30 days away, we will allow you to move your booking to an alternative date without any charge, subject to availability. Any additional cost relating to a change of dates would be payable.
We will not move booking dates, or change pods, within 30 days of the start of your stay.

Whole-site bookings – You may move your booking to an alternative date if your stay is more than ten weeks away, subject to availability. We will not move exclusive hire booking dates within ten weeks of the start of your stay.
We strongly recommend that you take out UK travel insurance when you make your booking.
We recommend additional cancellation insurance to cover in the event of cancellations other than Coronavirus restrictions.
Pods must be left clean and tidy. Cleaning products are in the pod for your use. This includes the hob, microwave, fridge, sink area, crockery, cutlery, pans, utensils, and shower room. Bins need to be emptied and sorted into the recycling bins near the bike store before your departure.
Green Top pods have private external shower rooms and guests are expected to maintain them to a high standard during their stay.
Eco-friendly cleaning products are available for guests to use throughout their stay.
A portable electric sweeper is kept in the Little Laundry at The Hub for guests to use.
Peaks and Pods reserves the right to enter and inspect the pods at any time. If a pod is left in an unsatisfactory condition, or damaged in any way, we reserve the right to retain money from any security deposit, or will send an invoice to the person who booked. Our standard cleaning charge for pods left in an unsatisfactory condition is £40, but we reserve the right to charge more if we feel it is appropriate.
We are proud that much of our electricity is produced by a wind turbine, located behind the pod site, and by solar panels on our cowshed roof. On occasion, depending on the direction and power of the wind, a small level of mechanical noise from the wind turbine can be heard outside the pods (but not inside, due to double-glazing and insulation).
Be aware that at certain times of the year important jobs need to be carried out on the farm, such as slurry spreading and harvesting silage. These are vital to our working farm but sometimes cause smells and some noise (but are quite fun to watch!). In the summer months our cows graze on the field adjoining the pod site during the day and are brought in to be milked in the late afternoon – usually by quad bike. Cows can be quite inquisitive and might pop their heads over the fence to say hello!
As a working dairy farm, there is often farm activity nearby and complete silence cannot be guaranteed!
Campfires and guests’ own barbecues and fires are not permitted on site.
Fuel for our fire pits and barbecues must be bought from Peaks and Pods – guests’ own wood or charcoal is not permitted. The fire bowl may only be used in the designated areas for safety reasons. Fire pit and charcoal packs are available from The Hub.
There is a designated parking area next to the pod site, a short walking distance through a pedestrian gate to the pods.
Only one vehicle per pod, unless an extra space for a car has been pre-booked.
Corn Bents has its own designated parking space and pedestrian gate for ease of access.
Cars may not be driven along the pedestrian path to the pods at any time.
There is absolutely no smoking (including e-cigarettes) permitted either in the pods or on the decking/patio areas. Smoking is allowed in a sheltered area at The Hub (near the pizza oven) and a metal ashtray is provided both there and on the gate into the pod area. Please ensure that you put all cigarette ends in the ashtray. Your co-operation is much appreciated.
Whilst we love dogs and have our own, unfortunately we cannot accept dogs due to the close proximity of cows and sheep to the pod site, and due to the nature of our working dairy farm.
We offer exclusive site bookings of all five pods for family groups or special get-togethers. We don’t take group bookings of four pods. We don’t accept stag or hen parties.
Bookings for three or more pods must be organised in advance by contacting Peaks and Pods. If three or more pods are booked without prior arrangement, the booking will be cancelled and fee charged. (Two pods may be booked together without prior arrangement.)
Full details of prices and payment details will be sent on request by email.
For exclusive site and group bookings we charge a security deposit of £600. The deposit will be paid by the person who books – the ‘lead booker’ and authorised on the day of arrival. It will be refunded at the end of the stay if there are no damages, breakages or extraordinary cleaning required.
When a group booking includes a Gold Top or Green Top pods, we assume that the hot tub may be used by guests staying in the other pods in the booking. If any hot tub, hot tub cover or air source heat pump is damaged during the stay, the cost of any repairs or replacements will be taken from the security deposit. If the cost of damage exceeds the £600 security deposit, the remaining balance will be payable.
Cancellation of whole site bookings – Should you cancel your stay more than eight weeks before the day of check-in, we will retain the booking deposit (or 30% of the total of your stay if you’ve already paid in full). Should you cancel your stay within eight weeks of the start date, the balance of your payment remains payable. Dates may not be moved within eight weeks of the start of your stay.
Guests can check in from 4pm. We operate a self-check-in system – you’ll find your keys in a key safe at your pod. You’ll receive an email with the key code a few days before your arrival. Strictly no early arrivals – the site gate will be locked before 4pm as the car park is used by Peaks and Pods staff.
The site is not manned for most of the day, as we are working on the farm or in the office, but we can be contacted should you need assistance. We’re usually on-site several times a day.
Check-out is strictly by 10am. Late checkout may incur additional charges if not by prior arrangement. Please leave your keys in the key safe outside your pod.
We expect all our guests to respect and look after the site and the pods. We also ask you to respect your fellow guests and keep noise levels to a minimum after 10pm.
Parents are responsible for their children, and children must be supervised at all times.
Our pods are sited in a quiet field but on a working dairy farm and there may be tractors moving on the main farm track at any time. There are areas on the pod site for children to play, but access to the main farm and buildings is not permitted due to safety risks. We take our Health and Safety responsibilities very seriously and ask visitors to respect our safety rules.
Some of our dry stone walls are very old and it is important that we do everything we can to protect them. Please do not climb them, or allow children to play on them. The walls around the pods are also traditional dry stone walls and are not safe to be played on. Don’t let children play near the edge of the walls next to the pod areas.
Extra visitors who are not staying on-site are not permitted to visit Peaks and Pods. This is to safeguard the comfort and security of all our guests.
To look after our pods we ask that guests do not wear shoes inside.
No cooking or fires are permitted on the wooden decked area.
Guests may not use their own fuel for the fire pit, the barbecue or pizza oven. Fuel packs must be bought on-site.
No smoking inside the pods or on the patio. Use the designated ashtrays near The Hub.
No music should be played outside the pods, except through the speaker at The Hub.
By booking a stay in a Gold Top or Green Top Plus pod at Peaks and Pods, guests are agreeing to read the information and to abide by our hot tub rules. We reserve the right to prohibit use of a hot tub at any time during a stay, without offering a refund, if we find that our hot tub rules have not been followed.
We charge £50 to empty and refill a hot tub during a stay if the water becomes contaminated. We will also make a charge if we have to remove broken glass from the hot tub or if products have been added (eg bubble bath or oil).
Repairs for any damage to the hot tubs, hot tub covers and/or air source heat pumps will be charged to the person who booked the Gold Top or Green Top pod. If the cost of the damage exceeds the security deposit, an invoice will be sent to the person who booked, payable within 28 days.
IMPORTANT HOT TUB RULES:
- Do not exceed the maximum number of bathers in the hot tub (up to a maximum of five guests only).
- The hot tub cover must be in place and locked when not in use.
- Children must always be supervised around the hot tub.
- Bathers under 16 must be supervised by an adult.
- No child under four should use the tub due to the risk of overheating.
- Children must be able to stand on the bottom with their head fully out of the water.
- Children should spend no longer than 15 to 20 minutes in a hot tub.
- Glass must not be taken into or on the hot tub (wine glasses, water glasses, glass bottles etc). Plastic glasses and cups are provided.
- No candles, smoking or eating in or on the hot tub.
- All hot tub users must shower before using the tub.
- Do not wear body oil, creams, lotions or fake tan in the water.
- Do not pour oil, soap or any other product into the water.
- Don’t use the tub if the water temperatures exceed 40 degrees C.
- NHS guidelines suggest that you do not use a hot tub while pregnant due to the risk of overheating, dehydrating or fainting.
- Seek medical advice if you have a medical issue, for example heart or respiratory problems.
- Do not use the hot tub if you have a rash or broken skin, have experienced diarrhoea or vomiting in the last 48 hours, have a fever or flu-like symptoms.
- If you feel too warm, get out of the hot tub and take a break.
- Take regular breaks when bathing in the hot tub to avoid overheating and dehydration.
- Avoid dehydration when using the hot tub by drinking plenty of water.
- Do not use the tub if you are under the influence of alcohol or sedatives.
- Do not jump into or out of the hot tub.
- Take care when getting into or out of the hot tub due to the risk of slipping on wet surfaces.
- Any problems with the hot tub must be reported to Peaks and Pods immediately, including any damage.
We accept no responsibility for any loss or damage that may occur to your car or associated property whilst on Peaks and Pods site, except where such loss or damage has arisen as a result of our negligence or a breach of our duty to you.
Damage, Loss and Theft
Guests agree to inform Peaks and Pods of any damage or loss, however caused. Guests should not remove any item from the property. The owner may ask for reasonable replacement costs. Charges will be made for damaged or missing items, or the cost taken from any security deposit.
Bookings – A security of £100 is required before arrival. (See ‘Security Deposits’.)
Group Bookings – A security deposit of £600 is required for exclusive site bookings and by arrangement for bookings of three pods. The deposit will be taken via our payment processors ‘Stripe’ and you may see it on your statement as a transaction or a pending transaction.
Any security deposit will be reserved at 6am on the day of arrival and will be fully refunded within two days of departure if there are no damages, breakages or additional cleaning charges.
If you have a problem with your accommodation during your stay please advise us as we would like the opportunity to resolve it as soon as possible. Please let us know of any damage, breakages or maintenance issues that you come across.
We take all comments from our guests seriously and in the unlikely event that you wish to make a complaint you can contact us by phone or email and we will respond. We will try to resolve any issues as soon as possible.
A security deposit of £100 will be reserved on your chosen credit or debit card at 6am on the morning of arrival, which will be released within two days of departure if the pod, outside area, and any hot tub is left in a good condition, with no damage or losses. Any costs incurred to replace or repair damages caused by guests will be taken from the security deposit.
A cleaning charge of £40 will be taken from the security deposit if a pod is left in an unsatisfactory condition. We will provide clear information about what we expect guests to do before they leave. The cleaning charge will also apply if we believe that guests have been smoking in the pods.
You will be sent an automated reminder seven days before arrival to confirm your card details. Guests may not begin their stay at Peaks and Pods until the card has been authorised.
If the repair or replacement costs exceed the £100 deposit, we will send an invoice to the person who booked the stay, payable within 28 days.
An inventory is provided in the Welcome Pack at each pod and should be checked on arrival. Broken, damaged or missing items must be paid for. A charge will be made from your security deposit for all broken, damaged or missing items not paid for before your departure. Guests must inform us as soon as possible of any damage incurred during their stay.
